Once you successfully log in, you will be directed to the Theator Homepage. This serves as your main dashboard, providing a quick overview of your recent activity and easy access to your procedures.
The Homepage Dashboard
The Homepage is your starting point. It displays your most recently recorded procedures and gives you quick access to open and review cases. A search bar in the top navigation allows you to quickly find cases by procedure type, case ID, specific events, and participant names.
Homepage case tabs
Across the top of the case list you will see built-in tabs, then any pinned smart collections:
- My cases — Cases where you are a listed participant.
- Department — Cases from your department (when applicable).
- Organization — Cases across your organization.
- Live — Cases currently in progress (when live viewing is enabled).
- Watchlist — Cases you have added to your watchlist.
- Your pinned smart collections (up to 3) — Live saved searches you chose to pin. Built-in tabs (My cases, Department, Organization, Live) always stay. See Smart Collections.
- Collections — Opens the collections library.
Use the … control next to the tabs to pin or unpin smart collections and open ones that are not pinned.
Create a pin from Advanced Search with Save search → leave Pin to homepage checked, or pin later from the … menu.
Sidebar Navigation
The platform uses a left sidebar for navigation. Here is a breakdown of each section:
Home
Your dashboard with recently recorded procedures and quick access to cases.
AI Assistant
A conversational AI assistant that can answer questions about your surgical data. Use it to ask about your cases, performance trends, and more. (NEW) See Getting Started with the AI Assistant for details.
Performance Profile
Your personal analytics page with performance metrics, case volume, and outcome data. When the resident scorecard feature is enabled for your venue, an Evaluations tab also appears. See Performance Profile for a full guide.
Cases
All case-related features are grouped here:
- Search — Find cases using filters such as procedure type, date range, participants, and events. Use Save search to turn a filter set into a smart collection.
- Case Triage — Review and manage cases awaiting triage or classification. See Case Triage — Reviewing and Managing Cases for details.
- Collections — Organize cases into manual or smart collections. See Intro to Collections and Smart Collections.
- Unlinked Recordings (admin and venue admin) — Manage recordings that have not yet been linked to a case in the system.
- Upload Case — Manually upload a surgical video for processing and review.
Surgical Excellence
Tools for department-wide quality improvement:
- Department Analytics — Aggregated performance metrics across your department.
- Room Analytics — Analytics broken down by operating room.
- Initiatives — Track and manage quality improvement initiatives.
- Catalog — A library of best practices and reference materials. See Exploring Best Practices and the Catalog for more.
Clinical Research
Tools for research and data sharing:
- Share Data — Share de-identified surgical data with approved research partners.
- Research Assistant (admin) — AI-powered research tools for querying surgical data.
Rooms
Real-time operating room monitoring:
- Room Status — See which operating rooms are currently active, with the option to join a live stream of an ongoing procedure.
- Daily Schedule (admin, or when enabled for your venue) — View the planned operating room schedule for the day.
System (admin)
Platform configuration and monitoring:
- Implementation — Configure SSO, EHR integrations, VPN settings, and manage Theator hardware units.
- Monitoring — Tabs include Incidents (default), Recordings, and Rooms for tracking system health. Administrators on desktop also see an EHR Inbound tab. See System Monitoring Dashboard for details.
Organization (admin)
Manage your organization's venues, sites, and departments.
Each section of the sidebar is designed to streamline your workflow, whether you are reviewing your own cases, exploring departmental activity, monitoring live surgeries, or managing platform configuration.
