Rooms Monitoring helps you keep your operating rooms online and running smoothly. Available under System > Monitoring in the left sidebar (for administrators), this section provides a comprehensive set of tools for tracking the health and status of your Theator-connected operating rooms and hardware units.
Monitoring Tabs
The monitoring section is organized into tabs across the top of the page. Each tab focuses on a different aspect of your operating room infrastructure.
Incidents
The default view when you open Monitoring. It gives you a high-level summary of any issues that need attention across your site — open and acknowledged incident counts, active incidents affecting rooms or units, and alerts that require follow-up. This is the best starting point for a quick daily check.
Recordings
Tracks how your surgical cases are being captured. Use the toggle at the top of the tab to switch between:
- Schedule — the daily operating room calendar, showing all scheduled cases per room with procedure type, surgeon, and time. Use it to verify that schedule data from your EHR is flowing correctly.
- Coverage — the percentage of scheduled cases that were actually recorded, with a per-room breakdown and a list of cases that were scheduled but not captured. This is a key metric for confirming the platform is recording the procedures it should.
- Exclusions — a management view (desktop only) for procedure types you want to exclude from coverage tracking.
Rooms
A per-room and per-unit view of your infrastructure. Use the toggle to switch between:
- By Room — connectivity and recording status for each operating room, including whether the video feed is active and the current recording state.
- By Unit — the status of each Theator processing unit deployed at your site: connection status, last activity, and the room each unit is assigned to. Use this to spot units that are offline. Click View on any unit to open its detail drawer; global Admins also see the current software version there.
EHR Inbound
Shows the health of your EHR (HL7) integration and recent inbound messages, so you can confirm scheduling and case metadata are reaching Theator. The tab appears in the navigation bar for global Admins on desktop. Venue admins and venue IT admins can access it directly at https://app.theator.io/system/monitoring?tab=ehr.
Getting Started
- Navigate to System > Monitoring in the left sidebar.
- Start on the Incidents tab to see whether anything needs attention across your site.
- Open the Rooms tab to check the status of a specific operating room (By Room) or hardware unit (By Unit).
- Open the Recordings tab and select the Coverage view regularly to ensure your surgical cases are being captured as expected.
