Your department sets a default recording policy for all surgeons. If your organization allows it, you can override this default and choose not to record your cases.
Before You Start
Your organization's default policy is shown under Case Record Settings in your profile. Most departments default to Record with Indefinite retention. Changing your personal policy to Don't Record means your future cases will not be captured by Theator.
Steps to Change Your Recording Policy
-
Click your name in the top-right corner of the Theator platform.
-
Select User Settings from the dropdown menu.

-
Scroll down to the Case Record Settings section.
-
Under Derived policy by organisation, you will see your hospital's current default (e.g., "Record and save indefinitely").
-
Under Modify your policy to override your organisation policy, open the Select your record policy dropdown and change it from Record to Don't Record.
-
Click Save record settings to apply your change.

Your personal recording policy is now updated. All future eligible cases will follow your new preference.
Switching Back to Recording
If you want to resume recording, follow the same steps and change the policy back to Record. Select your preferred retention period and click Save record settings.
Frequently Asked Questions
Will this delete my previously recorded cases? No. Changing your policy only affects future cases. Existing recordings follow your department's retention policy.
Can my department override my personal choice? Your department admin sets the organization-level policy. If the option to modify your personal policy is not available, contact your department admin or Theator support.
I don't see the option to change my policy. Why? Some organizations restrict individual overrides. If the dropdown is greyed out or missing, your department has not enabled personal policy changes. Reach out to your department admin for assistance.
