What is Room Analytics?
Room Analytics provides performance and utilization data at the operating room level. It helps administrators and department leaders understand how efficiently their ORs are being used and where there are opportunities to improve scheduling and throughput. You can access it by navigating to Surgical Excellence in the sidebar and selecting Room Analytics, or by going directly to /surgical-excellence/room-analytics.
The dashboard is organized into four tabs — Activity, Utilization, Quality, and Events & Outcomes. Every tab can be grouped By Room or By Facility using the toggle above the table, and filtered to All cases or only Recorded cases.
Who Can Access Room Analytics?
Room Analytics is a feature your organization's admins control — it is not tied to a personal "department leader" role. Its visibility is set per venue in Organization → User Management → Settings → Features, where an Account Admin or Admin can choose one of three levels:
- Available — every user at your venue can see it.
- Admin only — only Admins and Account Admins can see it.
- Off — it is hidden for everyone.
If Room Analytics is missing from your navigation and you believe you should have it, ask your Account Admin to review this setting.
The Activity Tab
The Activity tab breaks down surgical output for each room (or facility). The table includes:
- Total Cases — the number of cases in the selected time period
- Cases/Day — average cases per active day (days with at least one case)
- Scope-in Hours — total hours the scope was actively inside the patient, summed across all cases; gaps between sequential procedures within the same session are not included
- Avg Start Time — the average clock time (your venue's timezone) of the first scope-in of the day, averaged across active days
- Avg End Time — the average clock time (your venue's timezone) of the last scope-out of the day
Beyond these columns, the table adds a column per procedure type, so you can see how each room's case volume is distributed across the procedures performed there. Select any case count to open the underlying case list for that room or procedure type. The case list is filtered by the selected room or facility, the date range, and the clicked procedure type. The Recorded setting is preserved; room-type and other dashboard filters are not carried through.
The Utilization Tab
The Utilization tab focuses on how efficiently each room's available time is used, and how well the schedule runs day to day. The table includes:
- Total Cases — the number of cases in the selected time period
- 1st Case Start — the average clock time (your venue's timezone) of the first case's scope-in, averaged across active days. Use this to track how punctually the first case of the day begins in each room.
- Avg Turnover — the average minutes between one case's scope-out and the next case's scope-in in the same room. Reducing turnover time is one of the most impactful ways to improve OR efficiency.
- Avg Idle — average idle minutes per case, representing the idle time in the room when the scope was not in use
- Avg In-Scope — average minutes per active day the scope was inside the patient
- Utilization — the share of the room's active span (first scope-in to last scope-out) during which the scope was inside the patient
Together these columns give you a picture of which rooms run efficiently and which have idle capacity or slow, late starts that need attention.
The Quality Tab
The Quality tab shows how consistently each room adheres to evidence-based best practices. The table includes:
- Overall Adoption — the average adoption rate across all tracked best-practice protocols for that room
- A column per best practice, showing that room's adoption rate for the individual protocol
Select any individual best-practice adoption cell (not the Overall Adoption aggregate) to open the case list behind it. The case list is filtered by the selected room or facility, the date range, and the clicked practice. The Recorded setting is preserved; room-type and other dashboard filters are not carried through. This tab is useful for tracking the impact of quality improvement initiatives at the room level and spotting where a specific practice needs more attention.
The Events & Outcomes Tab
The Events & Outcomes tab tracks flagged events for each room. The table includes:
- Total Flags — the total number of flagged events across all flag types in the selected period
- A column per flag name, labeled as "Type — Name", showing the occurrences of that specific flag definition in each room
Select any individual flag cell (not the Total Flags aggregate) to open the underlying case list for that flag name and room. The case list is filtered by the selected room or facility, the date range, and the clicked flag name. The Recorded setting is preserved; room-type and other dashboard filters are not carried through.
Tips for Using Room Analytics
- Review weekly to catch emerging trends before they become persistent problems.
- Compare rooms side by side to identify best-performing rooms and understand what makes them different.
- Use the Utilization tab's Avg Turnover column in improvement discussions with OR staff.
- Use the Utilization tab's 1st Case Start column in scheduling meetings to address recurring first-case delays.
- Switch between By Room and By Facility to move between a single-room view and a facility-level rollup.
- Adjust the date range to compare performance across different weeks, months, or quarters.
Room Analytics gives you the visibility you need to optimize OR operations and make data-driven decisions about scheduling and resource allocation.
