What is Room Analytics?
Room Analytics provides performance and utilization data at the operating room level. It helps administrators and department leaders understand how efficiently their ORs are being used and where there are opportunities to improve scheduling and throughput. You can access it by navigating to Surgical Excellence in the sidebar and selecting Room Analytics, or by going directly to /surgical-excellence/room-analytics.
Who Can Access Room Analytics?
Room Analytics is available to users with admin or department leader roles. If you do not see this option in your navigation, contact your Theator administrator to verify your permissions.
Room Utilization Metrics
The main section of the dashboard shows utilization data for each operating room, including:
- Utilization rate — the percentage of scheduled time that was used for active surgical procedures
- Total cases performed in each room during the selected time period
- Active surgical time versus idle time — a breakdown of how time was spent in each room
These metrics give you a clear picture of which rooms are being used effectively and which may have capacity for additional cases.
Case Volume by Room
A case volume breakdown shows how surgical cases are distributed across your operating rooms. This helps you identify:
- Rooms with consistently high or low case volumes
- Imbalances in room assignments across the department
- Trends in room usage over time
Turnover Times
The Turnover Time section tracks the time between the end of one case and the start of the next in the same room. Key metrics include:
- Average turnover time per room
- Turnover trends over time — whether times are improving or increasing
- Comparison across rooms — so you can identify which rooms have the fastest and slowest turnovers
Reducing turnover time is one of the most impactful ways to improve OR efficiency, and this data helps you pinpoint where to focus.
First-Case Start Times
The First-Case Start Time section shows how punctually the first case of the day begins in each room. Metrics include:
- Average first-case start time per room
- On-time start rate — the percentage of days where the first case started within the scheduled window
- Trends over time to track improvement
Consistent on-time first-case starts are a strong indicator of well-functioning OR scheduling and preparation processes.
Scheduling Efficiency
The Scheduling Efficiency view combines multiple metrics to give you an overall picture of how well your OR schedule is being executed. It factors in utilization, turnover times, start times, and case volume to highlight rooms and time periods that are running efficiently versus those that need attention.
Tips for Using Room Analytics
- Review weekly to catch emerging trends before they become persistent problems.
- Compare rooms side by side to identify best-performing rooms and understand what makes them different.
- Share turnover data with OR staff to drive collaborative improvement efforts.
- Use first-case start data in scheduling meetings to address recurring delays.
- Adjust the date range to compare performance across different weeks, months, or quarters.
Room Analytics gives you the visibility you need to optimize OR operations and make data-driven decisions about scheduling and resource allocation.
