Managing Collections and Case Notes

Collections are a powerful feature designed to help you organize and manage cases effectively within our platform. Think of collections as digital folders where you can group related cases together based on various criteria such as patient type, surgical procedure, or educational purpose.

Managing Your Collections

1. Accessing Your Collections:

   • From your dashboard, go to the "Cases" tab and then select "Collections" from the sub-menu. This will take you to the Collection Page, which serves as the central hub for all your collections.

2. Creating a New Collection:

   • On the Collection Page, click the “Create” button. Name your collection and begin adding cases as needed.

     

3. Viewing and Editing Collections:

   • Click on any collection from your Collection Page to view and edit it. Here, you can update the collection's name, add or remove cases, and manage other settings.

Adding a Note to a Case

A collection note explains why a case belongs in a collection and is separate from a timeline comment on the case itself — for time-linked comments, see How to Use Comments and Tag Teammates.

When you add a case to a collection, you can attach a short note explaining why it belongs there — for example "textbook critical view of safety" or "discussed at M&M on 2 July". The note appears on the case card inside that collection, so anyone opening the collection sees the context without having to ask.

Writing a note as you add the case

Open "Manage collections" from the case, tick the collection you want to add it to, and select "Add a note" on that row. Type the note, select "Done", then "Save".

Notes are optional — leave the field blank and the case is added exactly as before. The note field appears only on collections you are adding the case to right now. To note a case that is already in a collection, use the card menu described below.

Adding or changing a note later

Open the collection, find the case, and choose "Add note" — or "Edit note", if the case already has one — from the ⋮ menu on the card. You can also select "Edit" on the note itself.

Either route opens the same editor. When the case already has a note, the editor also offers "Remove note" — select it to take the note off the card in one step.

Seeing who wrote it

Each note shows the author and the date it was last updated, which matters in a shared collection where several people curate the same list.

Notes work the same way for clips saved to a collection, and are limited to 280 characters to keep cards readable. Everyone with access to the collection can see a case's note.

Shared Collections

1. Accessing Shared Collections:

   • In the "Collections" section under the "Cases" tab, there is a specific area labeled "Shared Collections". This section lists all the collections that have been shared with you.

2. Navigating Shared Collections:

   • Click on any collection in the "Shared Collections" list to view the cases it contains. These collections are managed by other users but have been shared with you for collaboration or review.

3. Interaction with Shared Collections:

   • While you can view and access cases within shared collections, editing rights are typically reserved for the collection's owner. Specific permissions may vary based on the collection settings established by the owner.

To begin using collections, navigate from your dashboard to the "Cases" tab and select "Collections". Whether creating your own collections or accessing those shared by others, collections are designed to streamline case management and enhance collaborative efforts across your team.
