Who This Is For
This guide is for clinical leaders, department and division chiefs, clinical champions, and administrators who need a view across many surgeons rather than a single practice.
What the assistant can answer for you depends on the data your account is permitted to see. Department-wide answers require an account with visibility into other surgeons' cases — the same access that governs the Department Analytics page, which your organization's Account Admin or Admin controls per venue. If the assistant tells you it can only see your own cases, ask your Account Admin to review your access. See Theator Permissions Overview for how roles and viewing policy work.

Department-Wide Questions You Can Ask
Open the AI Assistant from the left sidebar and type your question. Here are the kinds of department-level questions it can answer.
Case volume and case mix
Ask the assistant to break down your department's activity by any combination of surgeon, site, specialty, division, or procedure type.
- "Give me a breakdown of all Department of Surgery cases by surgeon, site, and surgery type."
- "Which specialties or divisions are currently recording cases?"
- "How many active surgeons are in the Department of Surgery?"
Outcomes across surgeons and divisions
Compare outcome metrics — such as length of stay and case duration — across your team instead of for a single surgeon.
- "Review all cases for length of stay and case duration across divisions to find the biggest opportunities."
- "Compare cholecystectomy critical-view-of-safety rates by specialty."
Best-practice adoption
Ask how consistently evidence-based practices are being met across a procedure or division.
- "Pull all cholecystectomy cases by division, with best-practice adoption and outcome measures."
Team engagement and login activity
Summarize how your team is using the platform.
- "How many residents in the Department of Surgery have logged into Theator?"
- "Show me login activity per user in the department."
Tips for Department-Level Queries
- Name the group. Specify the department, division, service line, or role so the assistant scopes the answer correctly.
- Name the metric. Say which outcome you want — length of stay, case duration, best-practice adoption — rather than "outcomes" in general.
- Choose the grouping. Tell the assistant whether to break results down by surgeon, by specialty, or by division; you can switch groupings in a follow-up.
- Refine iteratively. The assistant keeps context within a conversation, so start broad ("all Department of Surgery cases") and narrow down step by step.
- Ask for a shareable summary. You can ask the assistant to compile its findings into a report you can copy and share with your team.
What the Assistant Can and Cannot Do Here
- Every answer is scoped to the data your account is permitted to view. If your access does not include other surgeons' cases, the assistant cannot produce department-wide results.
- Answers are drawn from cases and activity recorded in Theator, so a metric is only as complete as the underlying data — for example, a breakdown by role depends on how users and cases are tagged in your organization. If a number looks off, ask the assistant how it was calculated before sharing it.
- The assistant answers within the chat conversation. For recurring or highly formatted reporting, use it alongside the Department Analytics Overview page.
