Theator Permissions Overview

Theator lets your department decide how surgical videos are recorded, kept, viewed, and downloaded. Your choices define what your surgeons can do on the platform and how long cases remain available.

1. Recording Settings

You choose how recordings start:

  • Auto recording – All eligible cases are recorded automatically. (Recommended)

  • Manual recording / Opt out – Staff start and stop recording. Cases not started manually will not be recorded.

2. Retention and Deletion

You decide how long videos stay available:

  • Short term retention – Kept for a limited number of days.

  • Indefinite retention – Kept until removed according to hospital policy.

You also decide who, if anyone, can delete videos before retention applies, for example:

  • No one deletes videos (only retention removes them), or

  • Only specific roles (such as department head or QA lead) may delete.

3. Case Access (Viewing)

You choose which cases surgeons can see:

  • Only the cases they participated in, or

  • All cases in their department.

If you choose “only cases they participated in,” you may also allow anonymous viewing of additional cases as a mitigation, so surgeons can still learn from more cases without seeing full identifiers.

You can also give leadership or specific individuals broader viewing access than the rest of the department.

4. Download Permissions

You decide whether surgeons can download videos:

  • No downloading – Viewing only inside Theator.

  • All surgeons may download – For education, internal review, or conferences.

  • Only selected roles may download – For example, department head, QA lead, or education lead.
