Downloading recordings or specific clips from the Case Page is straightforward. Follow these steps to efficiently save videos for offline review or sharing.
Why you might not see the Download button
If the Download button does not appear in the top right corner of the Case Page, download is usually not available for you rather than broken. The most common reasons are:
- Downloads are not enabled for your role. Whether you can download videos is controlled by your organization's admin. Your department may be set to No downloading, or downloads may be limited to selected roles only — in that case the Download button is hidden for you. To confirm or change your download permission, contact your Theator administrator. For an overview of the download modes, see Theator Permissions Overview.
- The case is still recording live. The button appears once recording has finished.
- The case has no recordings yet. If nothing has been recorded for the case, there is nothing to download.
If downloads are enabled for your role but the Download button or the Create a custom video panel still does not appear, contact your Theator administrator or support team.
Download a Case Video from the Case Page

Open the case page for the recording you want.

Click Download in the top right corner of the page.

A Create a custom video panel opens on the right. Name the video. The default is built from the procedure type and the case ID, and you can replace it with anything.

Choose what to download:
- Download full video. The whole recording, as it was captured. On a case recorded in more than one part this option reads Download this recording and covers the recording you are currently watching.
- Download all recordings as one video. Only on cases recorded in more than one part. Theator joins every recording of the case, in order, into a single file. Your browser does the joining where it can, which is faster and skips the server queue, so leave the tab open and watch the progress in the panel. You can cancel it there too.
- Download specific sections. Cut the recording down before downloading. See below.

Click Download. A full or all-recordings download that has to be prepared on the server is queued, and you are notified once the file is ready. The Download Manager shows the progress of any queued request.
Downloading Specific Sections
Choosing Download specific sections offers you the video editor, a full-page editor where you trim, split, reorder, annotate, and download the result. Click Open in video editor to go there.
This replaced the older approach of typing section timestamps into the download panel. The editor does the same job with a real timeline, and it keeps what you cut as a saved clip on the case rather than only as a downloaded file.

Downloading with the AI Assistant
You can also ask the AI Assistant to download a case or a clip for you:
- Open the AI Assistant and type a request such as "download this case" or "download the clip from 00:01:00 to 05:09:00".
- The assistant proposes the download and shows a confirmation card that summarizes what will be downloaded.
- Click Approve on the card to start the download. As with the manual flow, your video is then processed and you will be notified once it is ready.
Downloading through the AI Assistant uses the same download permission as the Download button. If downloads are not enabled for your role, the assistant cannot complete the download, and the approval may be declined — contact your Theator administrator to enable downloads for you.
